Privacy Policy

Repticity ("we," "us") provides concierge and visitor-management software to senior-living communities (our "customers"). Communities use Repticity to check in visitors, record resident sign-outs and returns, gather resident experience feedback, complete admission paperwork digitally, and manage day-to-day operations. This policy explains what information we handle, why, and the choices you have.

Most of the information in Repticity is entered by, or on behalf of, the community that uses our software:

• Visitor check-in details — a visitor's name, contact information, who they are visiting, answers to the community's screening questions, check-in and check-out times, and, where a community has enabled it, a photo taken at the check-in kiosk.
• Resident and contact information supplied by the community — resident names and room assignments, and the names, phone numbers, and email addresses of designated family contacts, as provided to us by the community.
• Staff accounts — the name, work email address, and role of community staff who sign in to Repticity.
• Records created by using the service — resident sign-out and return logs, survey responses, work orders, signed admission documents, and messages sent through the platform.

We use this information for one purpose: to provide the service the community has engaged. That includes operating check-in and sign-out workflows, delivering the emails and text messages described below, producing reports for the community, providing support, and keeping the service secure. We do not sell personal information, and we do not use it for advertising.

Repticity sends operational and transactional messages only: staff at customer communities receive notifications, scheduled reports, and account emails; residents and their designated family contacts receive visit confirmations, experience surveys, and admission or e-signature links, as part of the service their community has engaged. We do not send marketing email and we do not use purchased or third-party lists.

You can stop text messages at any time by replying STOP. To stop receiving email or to ask about a message, contact us at info@repticitypro.com and we will remove you promptly.

We do not sell, rent, or trade personal information, and we do not share it with third parties for their own marketing. Information is shared only with:

• The community it belongs to — each community can see only its own data; data is isolated between customers.
• Service providers (subprocessors) we need in order to deliver the service — such as cloud hosting and email/SMS delivery providers — who may process the data only to provide the service to us.
• Authorities, where required by law — if we are legally compelled to disclose information.

We retain information for as long as needed to provide the service to the community that supplied it. To request deletion of your information, you can ask the community you interacted with, or contact us directly at info@repticitypro.com or by mail at Repticity, 2071 Flatbush Ave, Suite 63, Brooklyn, NY 11234. We will honor verified requests unless we are required to keep the information (for example, records the community must retain).

We protect information with technical and organizational safeguards, including encryption of data in transit, strict isolation of each community's data, role-based access controls, and least-privilege access for our own personnel. No system can be guaranteed perfectly secure, but we design and operate the service with security as a primary requirement.

Repticity is operational software for front-desk, concierge, and resident-experience workflows. It is not an electronic health record system, and it is not intended to store or manage medical records or provide clinical care.

Our service is designed for use by adults. We do not knowingly collect personal information directly from children under 13.

If we change this policy, we will post the updated version on this page with a new "last updated" date.
